Administrative Support (Point Lisas)
Reporting to the Administrative Lead and working closely with the Clinical Services Division, the
Administrative Support – Point Lisas is responsible for contributing to the effective operation to
the Point Lisas office through the provision of high-quality administrative support, client reception
and general office duties at this site.
Specific Accountabilities
• Receives incoming calls assessing the needs of clients including those in a distressed state
to identify the right service/access/referral required in a prompt manner.
• Schedules and coordinates sessions for clients seeking counselling at the Point Lisas office
or virtually.
• Registers clients of FIA Point Lisas office on prescribed Intake Forms.
• Maintains client database and files ensuring accuracy with all updates into the e-platform.
• Collects and receipts client payments where necessary.
• Prepares Consultant’s Billing Info for submission to Accounts.
• Prepares spreadsheet of monthly client utilization for submission to EAP Support upon
request.
• Performing other general administrative duties as and when required.
Position Requirements
• Diploma / Associate Degree in Management, Social Work or equivalent field
• Minimum one year’s experience in an Administrative or Customer Service role, in a similar
work environment (hotline/mental health/not-for-profit organization) OR any combination of
education and experience.
• Proficiency in using MS Office (MS Word, MS Excel, etc.)
• Good organizational and time management skills
• Excellent written and verbal communication skills including computer literacy.
• Demonstrated experience dealing effectively with vulnerable clients.
• Strong Customer Service skills with proven ability to handle complex and difficult telephone conversations.
• Ability to work independently and/or with limited supervision.
• Ability to maintain confidentiality and exercise judgement and discretion.
• Basic Counselling experience will be an asset
